We are seeking a reliable, energetic, and detail-oriented Domestic Outsource Coordinator to manage outsourcing projects and ensure timely completion to meet customer deadlines. This role involves data entry, vendor coordination, scheduling, and ongoing communication with internal teams and external vendors. The ideal candidate will have strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
The Domestic Outsource Coordinator will report directly to the Director of Outsourcing and Production and work closely with customer service, production, and warehouse teams to maintain a smooth workflow.
Key Responsibilities:
Vendor Coordination & Scheduling
- Communicate with outside vendors to establish daily and weekly capacities and priorities.
- Internally review and send daily or weekly priority lists to vendors as needed.
- Maintain an outsourcing schedule in ShopWorks, ensuring real-time updates.
- Adjust and send purchase orders (POs) to reflect correct ship dates and necessary drop dead dates.
- Coordinate with shipping and receiving regarding vendor pickups and deliveries, ensuring all orders are accounted for.
- Follow up with vendors to confirm on-time deliveries and production progress.
- Ensure vendors stay on track with estimated time of arrivals (ETAs).
- Physically inspect pallets entering and leaving the building for proper identification and preparation for outsourcing.
- Ensure pallets are organized before leaving the building for the shipping team to prepare and load trucks.
- Ensure pallets are organized after coming into the building for the receiving team to properly identify and relocate pallets.
- On occasion visit vendors to establish and maintain relationships.
Internal Communication & Coordination
- Run the daily outsource WIP report and update internal teams on vendor progress.
- Attend production meetings to provide updates.
- Work closely with customer service to review any timing issues with orders.
- Maintain open communication with the warehouse team to confirm that all scheduled pickups and deliveries were completed.
Process & Data Management
- Ensure accurate data entry into ShopWorks, keeping vendor events and order statuses up to date.
- Maintain records of vendor information, schedules, and capacities.
Required Skills & Qualifications:
- Excellent verbal and written communication skills for professional vendor and team interactions.
- Strong problem-solving abilities with a proactive approach to challenges.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- High attention to detail and accuracy in data entry and scheduling.
- Proficiency in customer service software and systems (ShopWorks experience is a plus).
- Ability to work collaboratively across multiple departments.
- Experience in order processing, logistics, or supply chain management is a plus.
- Comfortable with outbound communication and follow-ups with vendors.
Physical & Work Environment Requirements:
- Ability to operate a pallet jack as necessary.
- Ability to lift 40lbs safely.
- Forklift certification is a plus.
- Occasionally required to visit warehouse or production areas for coordination.
- Ability to adapt to changing schedules and priorities throughout the day.

Job Type: Full-time
Pay: $20.00 - $25.00 per hour
Expected hours: 40 – 45 per week
