Assistant Production Coordinator

The Assistant Production Coordinator is responsible for assisting in the execution of the overall product development and production process. The main focus is on insuring the accurate and timely entry of customer purchase orders, maintaining accurate records and documents of all development and production related activities. The Assistant Production Coordinator reports directly to the Operations Manager – Action Sports.

Responsibilities:
• Working closely with the Production Coordinator to insure the accurate and timely entry of a customer Purchase Order, creating a New Era Sales Order and maintain accurate record and documents of all development and production related activities
• Maintain a current knowledge of all Brand Partner Vendor Requirements
• Review all incoming Purchase Orders for completeness and accuracy prior to order entry
• Work directly with the Production Coordinator to confirm ship dates
• Insure account information is up to date to confirm accurate billing, delivery, and product distribution
• Work with Credit Analyst for order release, credit card orders, and other credit issues as necessary
• Enter all global and domestic Sales Orders in a timely and accurate fashion
• Complete and submit all Credit Request Forms with approved credits approved by Director of Sales and Marketing
• Dispatch New Era Purchase Orders to the identified Factory Partners
• Maintain records and documentation of all related purchasing activities including vendor files and entire PO files. This includes maintaining system accuracy
• Updates requested delivery dates in the system as necessary and secure appropriate approvals from Production Coordinator/Brand Partner
• Assists all other internal departments as needed
• Work closely with Factory Partners on the Time and Action calendar to insure that all the goods meet delivery and quality standards
• Maintain and monitor accurate information on Master Tracking Log (MTL)
• Work closely with logistic department coordinate with the Factory Partners and our designated freight forwarders to insure on time shipment booking
• Constantly monitor the current vendor matrix regarding performance standards such as quality, on time delivery, product compliance, and pricing and overall service consistency
• Maintains account information to ensure accurate billing, delivery and product distribution

Skills, Experience and Knowledge:
Through a minimum of three to five years’ experience, you must be able to demonstrate acquired skills and measurable success in each of the following areas:
• Excellent verbal and written communication skills and the ability to work in a fast paced environment
• Excellent analytical, problem solving, interpersonal and organizational skills
• Knowledge of overall production management process, understand how to use the Time and Action (T/A) calendars and Work-In-Process (WIP) report to execute the orders.
• Able to handle all aspects of overseas production and track deliveries schedule on daily basis.
• Must have strong follow-up abilities and work under pressure.
• Detail/hands on oriented with ability to manage multiple projects and deadlines.
 Understand goals and objectives established by the company and work towards satisfying them.
