Your opportunity
This Office Supervisor opportunity will require the successful candidate to perform office management tasks and front of house support. Reporting to the Head of Operations, the successful candidate must adopt a flexible approach to all responsibilities, carrying out other ad-hoc duties according to the office requirements.
How you will contribute
Key responsibilities include, but are not limited to the following:
To provide a warm, courteous and prompt welcome on guests’ arrival
The main point of contact for any visitor/guest or employee for the organisation/issuing staff or visitor access control passes.
Dealing with building related issues such as attending tenants’ meetings, Health and Safety matters, parking permits. Be the main point of contact for building receptionist/security.
Arranging all mail, international and local couriers in line with the Company procedure.
Arranging taxis and chauffeurs for guests and employees
Managing the meeting rooms calendar, booking and allocating meeting room space, ensuring meeting rooms are cleared and ready for the next meeting, ensuring IT facilities are set up and working. Organising refreshments where required and ordering lunches for meetings as requested.
Liaising with the IT team on any IT equipment requests
Ensuring the reception and office areas are kept clean and tidy at all times.
Ordering office consumable such as copier toners, stationery, kitchen supplies and approval of related invoices.
Maintaining stationery supplies and controlling the stock cupboards.
Managing the collection of paper recycling and office archiving.
Maintaining office storage facility, ensuring sales dockets and other paperwork filed appropriately.
Overseeing the facilities to ensure cleaning standards are met. Liaising with the external cleaning company for stock supplies and service deliverables
Supporting the Facilities team in booking maintenance visits and supporting contractors
Supporting new joiners with Health and Safety measurements and safety regulations around the building
Assisting in other administrative tasks as requested, such as managing the staff calendar and holiday bookings and scanning and saving documents to file)
Who you are
Excellent communication skills both written and verbally
Computer literate, including knowledge of Microsoft packages (Word, Excel).
Previous experience of a similar role where they have been required to prioritise and multi-task various and competing demands.
A good communicator with the ability to interface regularly with internal and external personnel at all levels
Ability to be discrete, confidential and reliable at all times
