Role: Legal Coordinator
Location: Ventura, CA
Reports to: Deputy General Council

In the Legal Coordinator role, you will be primarily responsible for providing administrative and operational support to the Patagonia Legal Department at its headquarters in Ventura, California and reporting to the Deputy General Counsel. Key focus for this role will be to administer and support department operations and systems including contract administration, electronic billing, budget and expense management, financial reporting, and management of administrative tasks of the General Counsel, other lawyers and legal professionals in the department.

What You’ll DoSupport the General Counsel and the Legal department as a whole in managing day-to-day workflow to help keep the team organized and on track. This includes managing the team’s intake portal, assigning work to the right person, and then tracking that work to ensure the team has a clear picture of outstanding work.
Manage all technology systems currently in use by the Legal Department including electronic billing (Legal Tracker) and contracts management system (Contract Works).
Administrative tasks related to the department’s Legal Tracker system (legal bill processing system) including setting up new matters and new outside law firms and vendors, as well as managing intake of monthly bills to prepare for internal review. Manage budget, billing and expenses and provide reporting to the Legal Department and the Finance team.
Develop and maintain cadence of updating standard form agreements and commonly used templates as well as using those templates to draft high volume agreements including NDAs, services agreements, independent contractor agreements and licenses.
Organize and manage document retention system and establish uniform and efficient modes of communication for the global Legal Department.
Provide corporate secretary support such as setting the calendar for Board meetings and managing corporate governance documents.
Responsible for department administrative tasks including expense reports, scheduling, MCLE and dues reporting, scheduling team meetings, travel, and off-site events.
Support the General Counsel in Assistant Corporate Secretary tasks, such as scheduling board meetings and managing corporate calendar and governance checklist.

Experience You Bring
5+ years’ experience in a comparable Administrative or Executive Assistant role for a fast-paced high volume, dynamic department.
Expert knowledge of PC, MS Office Suite: Word, Excel, PowerPoint, Outlook and SharePoint. Experience with advanced technical systems such as contract management and e-billing platforms is a plus.
Excellent verbal, oral and written communication skills.
Ability to maintain confidentiality and professionalism.
In depth knowledge of internet search applications.
Proven proficiency in producing high quality reports and presentations utilizing Excel and PowerPoint.
Exceptional scheduling skills with a focus on driving deadlines.
High level of attention to detail/organization.
Willingness and ability to adjust to multiple demands, shifting priorities, and demonstrate flexibility.
Must be a talented problem solver, solution oriented and highly resourceful.
Proven ability in assembling, compiling, analyzing and summarizing data.
Able to work independently on projects, anticipate/address issues while using good judgment.
Pay range: $67,849 - $113,190 USD Annual
Hiring range: $75,000-$95,000 USD Annual
