We are currently looking for an Office Manager at our Newport Beach, CA location.
Office Administrator – 70%
- Oversee facilities, coordinate upkeep as needed. (Maintenance, ordering supplies, equipment repair, etc)
- Assist callers with requested information or direct phone calls to appropriate people who can.
- Shipping and receiving product/goods and distributing to appropriate people
- Assist with inter-office moves, office layout, etc.
- Interact with Company vendors as needed.
- IT facilitation for local support team: Enter new hire setups, equipment requests, monitor service tickets when necessary
· Coordinate company events
· Handle petty cash
· HR liaison between local staff and corporate human resource department: Conduct New Hire Orientations, process HR paperwork, and help administer HR duties for local departments
- Processing expense reports and invoices for local departments
- Perform administrative tasks of a sensitive or special nature as assigned
Travel Coordination – 20%
- Assist employees with Domestic and International travel arrangements for airline, hotels and car rentals
- Month-end reconciliation of travel related charges
- Month-end reconciliation of corporate credit card bill relating to all travel charges
- Work with department managers to negotiate hotel and car rental contracts on a yearly basis
Tradeshow/Meeting Coordination – 10%
- Plan and prepare all Sales Meetings: time, place, flights, hotels, agenda, and dinners arrange and organize meetings, conferences and work related functions for senior executive management meetings.
- Tradeshow coordination (rep’s appointment schedules, booth space mgmt & hotel reservation)
- Group Reservations for Industry Tradeshows
- Attend tradeshows as needed to assist employees with room accommodations, work the booth front desk, and assist with various activities as needed
Qualifications:
· Planning, analytical data and research skills preferred
· Strong knowledge of various computer programs (Microsoft Office Suite, Adobe Acrobat)
· Minimum 2 years administrative experience
· Minimum 1 year experience in Corporate Travel/Tradeshow travel accommodations
· Experience in basic Accounting functions
· Must be able to communicate clearly and effectively with all departments
· Fashion/Action Sports industry experience and account base knowledge preferred
· Organizational skills, attention to detail skills, ability to demonstrate initiative and be pro-active, show discretion and confidentiality
