Your Opportunity at ARC’TERYX: As part of a small, dynamic and highly creative satellite studio focusing on the Asia Pacific customer,  you support in all aspects of our Tokyo Creation Centre’s day-to-day operations and logistics. from people, to spaces, to programming and developing process. This is not business as usual; the Tokyo Creation Centre will be a ground-up, entrepreneurial undertaking that will accelerate our business, elevate our product and define the next chapter of the Arc’teryx brand. Your passion, flexibility, connection to the Tokyo creative community, and start-up mentality will be key to the success of this new endeavor.As the face of the TCC, you support the VP, Tokyo Creation Centre to arrange scheduling and travel, budget oversight, programming and events, and you provide ongoing support to a growing, international team of makers and creatives, serving both internal and external guests.This role is based out of our Tokyo Creation Centre and is expected to be performed on-location.Meet your future team:The Tokyo Design Centre is a ground-up, entrepreneurial undertaking, with collective contributions accelerating our business, elevating our product and defining the next chapter of the Arc’teryx brand. You will be joining a Design Team that creates innovative, beautiful product, that exceeds the core mountain athlete’s needs in the outdoors. Our vision is to redefine the industry.If you were in the Studio Manager, Tokyo Creation Centre role now, here are some of the core activities you would be responsible for:! Serving as the Executive Assistant for the VP; owning scheduling, travel and calendar management! Partnering with HR or Human Resource team to ensure new hires are supported and setup for success throughout their Arc’teryx career journey! Coordinating with both the Amer Sports Japan office and the Arc’teryx North Vancouver headquarters to ensure a seamless flow of communication and strategy integration! Working with external and internal partners to help facilitate the completion and opening of our new design studio, scheduled for March of 2024! Developing experience and programming material for the studio, team and creative community! Partnering to coordinate and support an ongoing roster of visitors, both internal and external! Managing the office logistics, including supply, budget and purchases! Overseeing contractor and vendor contracts, invoices and services for the TCC Team! Supporting with agendas, meeting recaps, and presentation materials! Ensuring clear communication and alignment across multiple offices, in various countries, with different culturesAre you our next Studio Manager, Tokyo Creation Centre?! 5+ years’ experience in project management, event planning, office management, facilities maintenance and/or executive support! You have a high business level, with spoken and written fluency in both English and Japanese! You are comfortable in a multi-lingual, multi-cultural working environment, and understand the nuances of cross-cultural communication! You know how to prioritize and effectively manage the logistics of an Executive’s schedule: pre-reads, agendas and following up on action items are second nature to you! You drive organizational excellence through continuous communication and proactive, solutions-based approaches! You thrive on meeting new people, building relationships and creating partnerships across the organization! You have a customer service oriented approach and strong interpersonal communication skills! You flourish in a fast-growth environment and thrive on contributing to our brand and team’s evolution! You’re a whiz with the Microsoft Office, including Power Point, and you have excellent business acumen! You have an understanding of and experience with the creative process and/or design landscape! You have great time management skills, and naturally utilize sound judgement and prioritization when multi-tasking and juggling competing priorities! You have strong emotional intelligence, discretion, and the ability to maintain confidentiality! You are willing and able to work irregular hours as needed to support operational goals across multiple time zones! You remain highly flexible and adaptive in a fluid work environment! You are proactive in identifying the root cause of issues, seeking the best (sometimes not the easiest) solutions with an unwavering commitment to do what is right! You remain highly flexible and adaptable when faced with ambiguity! You effectively balance autonomy and collaboration! You inspire breakthrough thinking and continuous improvement!
