WWSRA is seeking a qualified candidate to join our organization as an Assistant Director.
Western Winter Sports Representatives Association is a non-profit association that produces on-snow demos and indoor trade events in the winter, active lifestyles and outdoor industries. There is a lot of room for growth in this position and this is a great opportunity for someone to develop a strong understanding of the snow sports industry as well develop a large network of contacts while gaining valuable experience in office management and trade show production.
ESSENTIAL JOB DUTIES this is a general overview and does not include all duties of this position:
1. Establishes (with BOD guidance and approval) Association goals, objectives and projects for the year, delegates responsibilities to appropriate person, oversees execution, tracks and reports progress.
2. Human Resources directs, manages and oversees office and temp staff, creates master work schedule for all office and temp staff, creates annual calendar of deadlines and events for the Association and tracks staff vacation and comp time.
3. WWSRA schedule and planning conducts or oversees the ongoing research of venues and negotiates contracts and timing with facilities and decorators.
4. Event planning oversees the planning, production and management of all Regional Shows.
5. Assignments Makes or approves all show assignments.
6. Oversees website design and content manages security issues, updates payment forms, researches new areas of interest.
7. Show book production acts as contact for Xpo Press, provides updated exhibitor lists, reviews and approves ads, assembles and formats show book contents for production.
8. Accounting maintains QuickBooks, A/R, A/P, bank deposits, payroll, merchant account and taxes, works with Accountant quarterly to maintain the books, prepares quarterly reports for Treasurer and works with Treasurer on Association investments.
9. Graphics develops graphic concepts for mailers, sponsorship packets, promotional materials, parties, etc.
10. Executive Meetings and Relations attends Executive meetings to represent WWSRA’s members and retailers by expressing their goals, interests and concerns. Communicates National Association’s goals, interests and agenda to WWSRA members. Works with other industry organizations to support industry efforts and programs, responds to inquiries for WWSRA schedule and membership information, cultivates closer relationships with industry groups: SIA, OR, USRA, buying groups, retail association, etc.
11. National Representation attends, represents and staffs the USRA Booth at the National Shows.
12. WWSRA Meetings secures location, lodging and transportation for Annual Board of Directors meeting, develops materials and BOD books to present at Annual meetings. Schedules and creates agendas for regional rep meetings, provides survey results, sends out candidate election information and attends the regional meetings as travel schedule permits.
13. Surveys develops, distributes and interprets regional surveys for the membership as requested by the Board to aid in their decision making process.
14. Advertising conceptualizes, develops and creates ad campaign for the following show season.
15. Membership communications relays important Association and industry information to the membership, writes quarterly email newsletter.
16. Sponsorship designs and develops sponsorship marketing materials and proposals, identifies, researches and pitches proposals to potential sponsors, secures party and event sponsors for specific shows, provides budgetary information to event managers, follows-up and thanks sponsors, maintains sponsor relations.
17. Industry exposure researches advertising and marketing opportunities within the industry, negotiates rates and placement for ads, creates and distributes press releases to appropriate media, staffs or attends events, identifies value in kind exchanges with other industry organizations, develops mutually beneficial relationships with Industry press and ensures coverage of WWSRA events by the Press.
18. Additional duties as determined by the Board of Directors.
ESSENTIAL MINIMUM QUALIFICATIONS:
1. Education: BA or BS degree. Course work or equivalent experience in sports/event management or marketing, small business management.
2. 3 to 5 years of Event management or related field, small business management, strong negotiation skills, and experience in mediation.
3. File Maker Pro, Excel, FrontPage, Illustrator, PhotoShop, fax machine, copy machine, telephones.
