Reports directly to VP of Finance and Accounting Manager • Responsible for day to day full cycle Accounts Payable and Accounts Receivable transactions. • Process daily cash application, report cash requirement and notify incoming/outgoing payments. • Maintain customer information (contacts, emails, addresses, etc.) to ensure no delays in customer payments. • Record Accounts Payable invoices, credit cards and other payables. Maintain W9 and send out Form 1099’s • Process Purchase Order s. Monitor shipment and project completion following each customer agreements. • Prepare journal entries for intercompany transactions among six divisions using multi-currency. • Assist with month end procedures to close the month seamlessly. • Support monthly/quarterly tax submissions including L&I, B&O and WA state unemployment. • Support auditors’ quarterly reviews and annual audits • Maintain payroll and vacation accruals and monitor employees PTO balance. • Maintain fixed asset files and prepares monthly depreciation report. • Process biweekly payroll and reports to the Corporate Payroll Specialist. Audit and reconcile output. • Responsible for new hire onboarding and termination process. Benefits administration including 401k contribution. • Organize annual employee performance review and assist in salary announcement letter. • Maintain sensitive, highly confidential information. Manage general office, reception, bookkeeping functions to support staff of 32, 7 different departments between main and sub divisional companies. • Process expense reports and report to headquarter for reimbursement. • Maintain corporate calendar, scheduling of conference rooms and coordinate travel arrangement. • Organize and facilitate company lunch, event, and meeting. • Responsible for ordering general office supplies and refreshments. • Receiving and tracking of incoming/outgoing shipments. Strong experience with UPS and FedEx shipment. • Serve as a primary liaison for US office and Canada headquarters. Provide administrative support to VP of Sales, Director of Product Management and Marketing • Respond to inquiries from clients and client service areas relating to new sales opportunities. • Prepare presentation documents for VP of Sales and other department managers. • Coordinate trade shows including registration, show booth shipment, act as point of contact for show organizers. • Maintain Sales Book to capture sales activities weekly. Post invoice, shipment, and receipt records as needed. • Finalize and send out proposals following strict guidelines provided by state officials.
